Birthdays planning

Kids’ parties, milestone birthdays and surprise events

A great birthday party is 90% preparation and 10% decoration. Fix the format (home, café, rooftop, farmhouse or play zone), the guest count and the budget — in that order — and the rest becomes a short shopping list.

For kids’ parties, entertainment and food timing matter more than décor. For adults, the venue and the music matter most. Either way, keep the run-sheet short: one activity block, one cake moment, one food service, and a buffer.

Below is a practical budget split and checklist that works for both home parties and booked venues.

The checklist

What to do, in order

1

Set the frame

  • Decide format: home, venue or outdoor; kids or adults
  • Fix budget and guest count (venue minimums depend on it)
  • Pick date, start time and a realistic duration (2–3 hours is plenty)
  • Book venue or confirm home logistics: power, parking, lift access
2

Book the essentials

  • Cake order with tasting for custom designs — collect 5 days early
  • Food: order 1.2× headcount and flag allergies on the invite
  • Entertainment: magician, games host, clown or playlist + speaker
  • Décor: balloon set-up, photo corner, return gifts for kids
3

Day-of checklist

  • Cake knife, lighter, plates, tissue and a small cooler
  • Playlist downloaded offline; speaker charged
  • Gift table and a helper to note who gave what
  • Plan the last 20 minutes: cake, group photo, send-off

FAQ

Birthdays planning — FAQs

How many guests should a kids’ birthday party have?
Ten to twenty children with one adult helper per five kids is a comfortable ratio for homes and play venues. Beyond that, book a dedicated host — managing twenty-plus children without help is where parties break down.
Home party or booked venue?
Home is cheaper and familiar for under 15 guests; booked venues win for 25+ guests, older children and any party with an entertainer. Café and play-zone packages often include food, décor and cleanup for close to your standalone cost.
What food works best for parties?
Keep it familiar and easy to eat: sliders or wraps, fries, fruit, a savoury counter and one dessert besides cake. Label anything with nuts or dairy, and order about 20% more portions than invitees — Indian parties always see plus-ones.
When should we cut the cake?
Forty-five minutes to an hour after guests arrive — early enough that nobody leaves hungry, late enough for everyone to settle. Run games before the cake so the sugar rush has somewhere to go.
